1. Nature of Service & Medical Disclaimer

BYCHOICE provides coaching, workshops, and retreats for educational and personal development purposes only.

  • Not Therapy/Medicine: The Coach is not a licensed medical doctor, psychiatrist, or clinical psychologist. Services do not involve the diagnosis or treatment of mental disorders as defined by the psychiatric profession.
  • Professional Advice: Coaching is not a substitute for counseling, psychotherapy, psychoanalysis, mental health care, or substance abuse treatment. If you are currently under the care of a mental health professional, we recommend that you inform them of our coaching relationship.
  • Responsibility: You acknowledge that you take full responsibility for your life, physical wellbeing, and all decisions made during and after the coaching process.

2. Payments & Fees

  • Standard Fees: All prices are inclusive of Japanese Consumption Tax (10%) unless stated otherwise.
  • Bank Fees: For payments made via bank transfer, the customer is responsible for any transfer fees (furikomi tesuryo).
  • Refund Fees: In the event of a refund, any applicable bank transfer fees or payment processing fees will be deducted from the total refund amount. (返金時の振込手数料はお客様負担となります)

3. Cancellation & Refund Policy

3.1 Customer Cancellation

Unless otherwise stated on a specific event page, the following cancellation policy applies to all BYCHOICE events:

    • 14+ days before: Full refund (minus processing fee).
    • 13 to 3 days before: 50% cancellation fee.
    • 2 days before or “No Show”: No refund.

3.2 Refund Processing and Fees

Please note that in the event of any customer-initiated refund, the original payment processing fee (typically 3.6%, charged by providers like Stripe or PayPal) is non-refundable. This fee is retained by the payment processor and is not recovered by BYCHOICE. Consequently, any “Full Refund” issued will be the total amount paid minus this applicable processing fee.

3.3 Service Provider Cancellation

If an event is cancelled by BYCHOICE due to unforeseen circumstances (e.g., instructor illness, venue closure), a 100% refund (including any deposits) will be issued. We are not responsible for personal travel costs (e.g., flights, train tickets, or hotel bookings) incurred by the participant.

3.4 Travel Insurance and Cancellation Coverage

To protect against the financial risks mentioned above, we strongly recommend:

  • Travel Insurance: We strongly recommend that all participants purchase comprehensive travel insurance. This should cover medical expenses, personal accidents, and emergency repatriation during the trip.

  • Travel Cancellation Insurance (Ryoko Kyanseru Hoken): We also strongly recommend purchasing specific Cancellation Insurance. This is designed to reimburse non-refundable trip costs should you need to cancel prior to departure due to personal illness, injury, or other covered emergencies.

4. Digital Services & Offline Events

  • Online Coaching: Customers are responsible for their own internet/data charges and for ensuring a stable connection.
  • Intermediary Clause: For retreats/workshops, we act as an intermediary for accommodation and transport. Fees collected for these are passed directly to the third-party Facility.
  • The “Rainy Day” Clause: Events held at a Facility will proceed regardless of weather conditions (rain, etc.) provided the Facility remains operational and public transport is running. Refunds are not granted for weather-related dissatisfaction. Cancellation only occurs if the Facility closes or official weather warnings halt transportation (e.g., major typhoon).

5. Facility Safety & Liability

  • Adherence to Rules: Participants must follow all safety guidelines provided by the Coach and any host Facility.

  • Assumption of Risk: Participants acknowledge that outdoor activities or physical workshops involve inherent risks. By participating, you voluntarily assume all risks of personal injury or property loss.

  • Safety Responsibility: Participants are responsible for their own safety and must exercise due care at all times. You certify that you are in good physical and mental health sufficient to participate.

  • Limited Liability: To the maximum extent permitted by Japanese law, BYCHOICE and host Facilities are not liable for accidents, injuries, or loss of personal belongings unless caused by proven willful misconduct or gross negligence.

6. Governing Law

These terms are governed by the laws of Japan. Any disputes shall be subject to the exclusive jurisdiction of the courts of Japan.
